Program Evaluation and Feedback Utilization

Participant feedback is essential to the continuous improvement and relevance of the Foundations of Social Justice in Counseling program. This policy outlines how we collect, review, and apply participant evaluations to assess the effectiveness of the program, its content, and its delivery. Evaluation data not only informs quality assurance but also guides future enhancements to ensure meaningful and impactful learning experiences. This policy outlines the procedure for distributing program evaluations to participants and for incorporating participant feedback to improve future offerings of the “Foundations of Social Justice in Counseling” program. It ensures compliance and promotes a continuous improvement process.

Evaluation Objectives

The purpose of the program evaluation is to:

    • Assess participant satisfaction with the program content, learning objectives, and presenter effectiveness.
    • Evaluate the relevance and quality of program materials.
    • Collect feedback on program logistics, technology platform, and overall learning experience.
    • Identify areas for improvement to enhance future program offerings.

 

Evaluation Method and Tool

Evaluation Platform: Google Forms
Evaluation Format: Digital, optional anonymous submission to encourage honest feedback.
Evaluation Distribution: A unique Google Forms link will be provided to participants at the end of each session.

The evaluation form includes the following sections:

Program Relevance and Content

    • Relevance of the program content to professional counseling.
    • Achievement of learning objectives.
    • Currentness and applicability of the program content.

 

Presenter Effectiveness

    • Presenter’s knowledge and expertise.
    • Clarity of presentation and communication skills.
    • Responsiveness to participant questions and engagement.

 

Program Materials and Logistics

    • Quality and usefulness of program materials (e.g., slides, handouts).
    • Ease of access to program resources.
    • Appropriateness of the technology platform (Zoom).

 

Overall Learning Experience

    • Overall satisfaction with the program.
    • Suggestions for improvement or future topics of interest.

ADA Accommodations

    • Effectiveness of ADA accommodations (if applicable).
    • Opportunities for feedback on accessibility and inclusivity.

 

Distribution Procedure

End-of-Session Distribution

    • The Google Forms link for the evaluation will be shared in the Zoom chat at the end of each session.
    • Participants will also receive the evaluation link via a follow-up email within 24 hours of the session.
    • Participants must complete the evaluation to receive their certificate of completion.

 

Anonymous Feedback Submission

    • Responses will be collected anonymously to encourage honest feedback.
    • Participants will not be required to provide personal identifiers.

 

Submission Deadline

    • Participants will have 7 days from the session date to complete the evaluation.
    • Reminders will be sent 3 days before the deadline to ensure maximum participation.

 

Feedback Analysis and Reporting

Data Collection and Analysis

    • Evaluation data will be automatically collected and stored in Google Forms.
    • The program administrator will analyze the data to calculate:
    • Average satisfaction scores for each category
    • Completion rates and response distribution
    • Qualitative feedback and suggestions

 

Summary Report Creation

    • A summary report of evaluation results will be prepared for each program session. The report will include:
    • Numerical ratings and averages for each evaluation item
    • Participant comments and written feedback
    • Identification of strengths and areas for improvement
    • Incorporation of Feedback

 

Feedback Review and Action Planning

Evaluation summaries will be reviewed by the program administrator and presenters. Feedback will be used to identify:

    • Content areas requiring updates or improvements.
    • Opportunities to enhance presenter engagement and communication.
    • Adjustments needed in program logistics or technology use.

 

Continuous Improvement

    • Action plans will be developed to address identified areas for improvement.
    • Program modifications will be implemented in future offerings to enhance participant experience.
    • The impact of changes will be monitored in subsequent program evaluations.

 

Confidentiality and Data Security

    • All evaluation responses will be treated as confidential.
    • Data will be securely stored in Google Drive, accessible only to authorized personnel.
    • Evaluation records will be maintained for a period of five (5) years.
    • Program Evaluation Record Retention
    • Completed evaluations and summary reports will be securely stored for five (5) years.
    • Data will be used for program audits and quality assurance purposes.
    • Non-Compliance with Evaluation Requirement
    • Participants who do not complete the evaluation form will not receive a certificate of completion.
    • This policy is to ensure and support the continuous improvement of the program.
