Attendance Policy

To ensure the integrity of continuing education credit, the Foundations of Social Justice in Counseling program requires full and active participation in all scheduled sessions. This policy outlines the procedures for verifying attendance, expectations for participant engagement, and how attendance impacts eligibility for receiving a certificate of completion. Consistent attendance is essential for achieving the program’s learning objectives and for honoring the shared learning experience.

Attendance Requirements

To receive credit hours for the “Foundations of Social Justice in Counseling” program, participants must:

 

1. Attend the Full Duration of Each Session

    • Participants must attend the entire session to receive credit for that session. Partial attendance will not be credited.
    • Breaks and non-qualifying activities are not counted toward credit.

 

2. Participate Actively

Active participation is required, including engaging in group discussions, experiential learning activities, and Q&A sessions as outlined in the program agenda.

 

3. Use of Real Name on Zoom

    • Participants must join each session using their registered full name to verify attendance.
    • Nicknames, abbreviations, or anonymous entries will not be accepted for attendance verification.

 

Attendance Verification Method

Attendance will be verified using the following methods:

1. Zoom Registration and Sign-In

    • Participants must register for each session using the Zoom registration link provided upon enrollment.
    • The Zoom registration form will require the participant’s full name, email address, and any additional identification details necessary for attendance reporting.
    • Participants must sign in to Zoom using the same name and email address used during registration.

 

2. Attendance Monitoring and Reports

    • Zoom Attendance Reports: Zoom will automatically record participant attendance, including:
    • Time of entry and exit for each session
    • Total duration of attendance
    • Active participation in polls and breakout rooms
    • Attendance Record Review: The attendance report will be reviewed by the program administrator to verify full participation.

 

3. Polls and Engagement Checks

    • Interactive polls will be used at least once during each session to verify active participation.
    • Participants must respond to these polls to be considered present.

 

4. Random Attendance Checks

Random attendance checks will be conducted by asking participants to confirm their presence via the chat function.

 

5. Breakout Room Participation

Participation in breakout room activities will be monitored by facilitators, who will report attendance and engagement back to the main session host.

 

6. Missed Sessions and Make-Up Policy

    • Participants who miss a session or fail to meet attendance requirements will not receive credit for that session.
    • Make-up sessions will not be offered, as live participation is required for credit.
    • Participants may retake the missed session in a future offering of the program, subject to availability and registration requirements.

 

7. Technical Requirements

    • To ensure accurate attendance verification, participants must:
    • Use a device with a functional camera and microphone.
    • Keep their camera on and remain visible throughout the session.
    • Ensure reliable internet connectivity to avoid disruptions.
    • Contact the program administrator before the session for technical assistance if needed.

 

8. Attendance Record Retention

    • Attendance records, including Zoom attendance reports and engagement records, will be securely maintained for a period of five (5) years. These records will include:
    • Names and contact information of participants
    • Duration of attendance for each session
    • Poll and engagement check responses
    • Breakout room participation logs
    • Non-Compliance with Attendance Policy
    • Participants who do not comply with the attendance requirements will not receive credit.
    • Participants who are found to have falsified attendance will be reported.
